|MARC HOLDINGS RECORDS
MARC Holdings records are used in conjunction with the serials module to produce compact displays of serials holdings in the public catalog. MARC Holdings may be created automatically via the serials checkin process. MARC Holdings may also be created and maintained within the Cataloging module for free text holdings information.
|c Subfield ‘c’ (location) is required to create a MARC Holdings record. Use the Valid 852 Locations helper (upper left hand corner on the MARC Holdings record) to identify a |c location. The location must be input manually.
|h Subfield ‘h’ contains the call number if one exists.
|x Subfield ‘x’ contains a non-public note.
|z Subfield ‘z’ contains a public note.

Note: There are no spaces before or after subfields.
These fields, referred to in the USMARC Holdings Format as the Captions & Patterns tag, are generated by serials control and establish the format of the display (main run, indexes, and supplements). It allows the data to be compressed and provides the appropriate captions for the data.
These fields, referred to in the USMARC Holdings Formats as Enumeration & Chronology tags, are generated by serials control and indicate the actual enumeration and chronology for the received issues.
Note: Catalogers are not to edit or delete the serials control paired fields (853/863,854/864,855/865) at this time.
This field contains the free-text description of holdings (the old NOTIS 899 fields from MHLD records).
MARC Holdings records cannot be shadowed. If they exist and contain any “displayable” fields (852 |h, 852 |z, 866, etc.) then they will display to the public.
If you change the location and/or call number on your copy/call records, you must manually go to the MARC Holdings record and update the same information.
If there is a serials control record on the MARC Holdings record, catalogers CANNOT change the location (852 |c). This is controlled by a holdings code. You will need to work back with acquisitions/serials control staff to have them change the location.
MARC Holdings records cannot be edited to change the owning Library.
MARC Holdings records cannot be relinked to other bibliographic records.
If there are serials control paired fields on the MARC Holdings record, catalogers CANNOT delete the record. Until workflows are established, when encountering this situation catalogers need to work back with acquisitions/serials control staff to determine who will move the serials control information.
General rule: When transferring holdings from one library to another, or, when moving holdings from one bib to another – make a paper printout of the MARC Holdings record(s) because the only thing you can do is to recreate the records manually!
